AUCTION COMMITTEE

 

 

BASIC FUNCTION

 

The Auction Committee organizes all aspects of the ABA Auction held at the ABA

Convention, conducts the auction and maintains accurate records of money collected.

 

 

COMMITTEE CHAIRMAN QUALIFICATIONS

(1). Able to organize logistics of running the ABA auction and recruit other committee members to assist in that capacity.

(2). Have knowledge of auction procedures and ability to serve as auctioneer or select other(s) to serve in that position.

(3). Have time to correspond, prepare auction list and keep accurate accounting of receipts.

(4). Have knowledge of bells.

(5). Have a people-oriented personality.

CURRENT PROCEDURES

 

Head Auctioneer

 

1. Attend Executive Committee meeting chaired by President on day before convention.

2. Submit four copies of annual report to ABA Recording Secretary at the Executive Committee meeting held before the annual convention; if not attending convention, send four copies of annual report to the President three weeks before convention.

3. Submit article announcing convention auction to Bell Tower Editor for Jan-Feb issue.

4. Accept telephone reservations from sellers; receive their lists with bell descriptions for catalog; send numbered tags and auction set-up information to them by end of May.

5. Obtain auction team members and set up a working auction schedule.

6. Prepare catalog and make enough copies for the number of expected bidders.

7. Meet with hotel coordinator prior to auction, for room set-up and its continual security.

8. Supervise auction set-up and preview.

9. Oversee total operation during auction.

10. Complete the balance sheet showing expenses and profit to ABA after auction.

11. Meet with ABA Treasurer for final accounting and turn over checks collected. (Any cash collected should be exchanged for a check from the convention treasurer beforehand).

12. Give ABA Treasurer forms with seller's name, address, and amount to be paid to them so checks can be issued as soon as possible. The seller receives 85% of the sale amount and the ABA receives 15%.

13. Announce profit from auction during the next luncheon or dinner to total convention.

14. ABA Committees listed in the Bylaws are formed to carry on the required business of the ABA and remain constant as permanent ABA Committees.  Projects are developed through the Executive Board as a means to provide for a particular need; to promote interest in bells, to develop greater bell knowledge, and enthusiasm in bell collecting, i.e., Auction and Behold. These projects continue until they are no longer effective and/or an improved project is approved by the Executive Board.

(Year) ABA Auction

 

  1. A maximum of 300 bells or bell-related items will be accepted with a limit of 12 per family.
  2. Each item must have a minimum value of $25.00
  3. A group of bells can be placed as a single item only if they are from the same series and each has the minimum value of $25.00
  4. A minimum bid may be set for any two (2) items in the group and, in addition, any bell with a minimum of $300.00 or more.
  5. The ABA seller’s premium is 15% of the total sales.

Auction Information Letter

 

 

Dear

 

 

Enclosed is a computer copy of the bell descriptions that you sent to me for the upcoming auction in (city).I would appreciate it if you would look it over carefully for spelling mistakes or description inaccuracies. In some cases, I had to edit the information. To encourage good quality bells, the auctioneer will not accept an opening bid of less than $25.00. If you believe that one of your bells will not bring the minimum $25.00 bid, please substitute another bell in its place and let me know immediately. You can call me at PHONE NUMBER or e-mail me at EMAIL.

 

Also enclosed are your numbered tags that are to be attached to the corresponding bells you will be bringing to auction. If you indicated a minimum bid on a bell, that tag has bright (color) marking on both sides. Your table number assigned to you at the call-in was (#). You must put your bells on that table during the set-up time. The tentative set-up time for the auction will be from (time) on (day, month, date). Please check your convention program upon registering to see if there has been a change in the set-up time.

 

I am looking forward to seeing you in (city) and hope that the auction will be just as successful as past ones have been. Please remember to check over the enclosed bell list and return it to me immediately or call me, if there are any corrections to be made.

 

If I do not hear from you by (date), I'll assume that everything is correct.
