ABA Job Description

 

BUDGET COMMITTEE

 

BASIC FUNCTION

 

The Budget Committee develops the budget for each fiscal year, with the approval of the Executive Board and the ABA members at convention.

 

COMMITTEE MEMBER QUALIFICATIONS

   1. Chairman must possess skills required for the office of Treasurer

   2. Ability to assess budget needs based on Treasurer's records

   3. Having time to correspond and meet budget time schedules

Current Procedures

 

Budget Committee

     

1. After closing the fiscal year books, start making the proposed budget for the next year.

2. The Bell Tower proposed budget will be submitted by the Chairman of the Bell Tower Standing Committee.

3. Use any other estimated budgets submitted by other chairmen or officers when figures for the new budget

4. By about May 15th, send copies of the proposed budget to each member (see Bylaws Article XV-C) of the Budget Committee. (Sending an explanation to go along with the budget as to why and how the amounts on the budget were determined (item by item) really helps the other committee members decide if the budget met with their approval.) Ask them to look over the proposed budget and send their approval or disapproval on it to you by June 1st

5. Make any changes, if necessary, and prepare about 30 copies to take to convention.

6. With the Treasurer as Chairman, have a meeting of the Budget Committee at convention to finalize the proposed budget to be presented to the Executive Board at the first board meeting. Be prepared to answer questions on any item. (The explanation sent to the budget committee members should help in this area, too.)

7. If there are any changes in the budget, pencil them in and take them to the budget committee members for approval. If changes are approved, make permanent changes to all copies.

8. Give final approved copies to all board members and budget committee members.

9. Present approved budget at the second plenary meeting at convention.

10. Remit to Treasurer all expenses, with receipts, when the job is completed but no later than end of fiscal year. March 31st Committees whose budgets are large, remit expenses with receipts for payment periodically and send in any remaining no later than end of fiscal year, March 31st

11. Submit four copies of annual report to ABA Recording Secretary at the Executive Committee meeting held before the annual convention; if not attending convention, send four copies of annual report to the President three weeks before convention.

12. The Chairman shall attend Executive Committee meeting chaired by President on day before convention.
