CONVENTION GUIDELINES COMMITTEE
BASIC FUNCTION
The Convention Guidelines Committee reviews and updates, annually, the current
"Convention Guidelines and Directives Booklet" to provide future Convention Chairmen with current information on sponsoring a convention.
COMMITTEE MEMBER QUALIFICATIONS
1. Committee is composed of the three most recent convention Chairmen.

Current Procedures
Convention Guidelines Committee
1. Following the convention, outgoing Chairman sends to the incoming Chairman of the Convention Guidelines Committee:
a. Extra copies of the Convention Guidelines and Directives booklet
b. Post Convention Report from last three conventions
c. Folder of correspondence
2. Arrange a meeting of the Convention Guidelines Committee and the incoming Convention Chairman to discuss the guidelines and update them annually to keep them current. Submit any suggestions for change to the Job Description Committee.
3. Communicate with the current Convention Chairman to answer questions or provide other information.
4. Provide the District Chairman the following information so that chapters that have indicated interest in sponsoring the convention three years hence may have facts before they contact a prospective hotel to determine if facilities are adequate to meet the requirements of the convention.
a. The number of people that attended the last three conventions; the cost of the registration.
b. The number of rooms that were rented each night; cost of the rooms.
c. Amount of meeting space needed, etc.
5. Remit to Treasurer all expenses, with receipts, when the job is completed but no later than end of fiscal year, March 31st. Committees whose budgets are large, remit expenses with receipts for payment periodically and send in any remaining expense no later than end of fiscal year, March 31st.
6. Submit four copies of annual report to ABA Recording Secretary at the Executive Committee meeting held before the annual convention; if not attending convention, send four copies of annual report to the President three weeks before convention.
7. The Chairman shall attend Executive Committee meeting chaired by President on day before convention.
8. Each member of the convention guidelines committee shall have a current copy of the Convention Guidelines and Directives booklet and shall keep this material updated with a total revision every three years, if necessary.
9. Each convention host group shall receive and be totally familiar with the ABA Charter, Bylaws and Standing Rules.
