EDUCATIONAL ENDOWMENT BOARD

 

BASIC FUNCTION

Administers the distribution of the Educational Endowment Fund, with the approval of the Executive Board, for the purpose of furthering the education of the public in bells and to preserve their historical significance. The amount to be spent each year will be the amount of interest only (not principal) earned the previous year from money in the Educational Endowment Fund.

 

EDUCATIONAL ENDOWMENT BOARD QUALIFICATIONS

   1. Interest and time to research colleges and other organizations which promote bell or bell related studies, research, writings, and/or some form of performance with bells.

   2. Ability to develop scholarship guidelines that could be used to inform colleges, individuals, and other bell groups of the Educational Endowment Board's purposes and requirements in the distribution of the Board's funds.

   3. Time to communicate with the board and the public to encourage bell study and follow through on all contacts.

Current Procedures

    

Educational Endowment Board

     

1. Chair the Educational Endowment Board meeting held during convention.  Invite the newly appointed committee member and incoming ex-officio First Vice President to the meeting. Send copies of the minutes to those attending the meeting.

2. The rotating committee members are to be consulted by the chairman before decisions are made.

3. At meeting, develop steps for finding colleges/students to receive scholarships  or organizations to receive grants. The Chairman shall contact these sources via letters/telephone telling of availability of funding.

4. Awards will be given on the merit of applications in any given year in the areas of bell restoration, bell research, and scholarship(s) to student(s) working with bells according to the money available. This will be the interest earned (not principal)  the prior year on the Educational Endowment Fund.

5. Steps to follow when an application for funding is received:

a. When the Chairman receives an application for funding, a copy of it shall be sent to each Educational Endowment Board member asking for a vote on the request, specifying an amount. (The ex-officio member does not vote, but may comment).

b. If the request is approved, the Chairman sends to the President an official request for funds, listing reasons why the Educational Endowment Board considers this appropriate.

c. The President then polls the Executive Board. Its decision in conveyed to the Chairman. If approval is given, the Chairman asks the Treasurer for a check.

d. The Chairman sends the check either to the college so it can be applied to the student's college account, or directly to the organization that has made application for funding. A letter concerning the use of the grant should accompany the check.

6. Throughout the year, along with committee members, continue to develop lists of colleges, and other sources, where scholarships can be given.

7. Send progress reports periodically to committee members and to President.

8. Handle donations to the Educational Endowment Board as follows:

a. Send a thank you letter to donor.

b. Send acknowledgment card to family of the deceased or honored. See enclosed sample.

c. Forward all checks to ABA Treasurer.

d. Keep records of all donations and report total amount donated in annual report.

e. Periodically, prepare article for The Bell Tower naming those who have donated to the Fund and the names of those remembered or honored.

 


 

 

9. Send an article to The Bell Tower Editor whenever the committee deems it necessary to give further information on projects, etc that have been established.

10. Keep copies of all pertinent letters, reports, decisions, and other helpful material  that they may be passed on to the incoming chairman.

11. Remit to Treasurer all expenses, with receipts, when the job is completed but no later than end of fiscal year, March 31st. Committees whose budgets are large, remit expenses with receipts for payment periodically and send in any remaining expense no later than end of fiscal year, March 31st.

12. Submit four copies of annual report to ABA Recording Secretary at the Executive Committee meeting held before the annual convention; if not attending convention, send four copies of annual report to the President three weeks before convention.

13. The Chairman shall attend Executive Committee meeting chaired by President on day before convention.

 14. Members of the committee will receive a copy of the Current Procedures from the Job Description Committee.
